How to Reconcile an Etsy Order Statement Line by Line

Match one Etsy order to the Payment account, separate every fee and explain why the bank deposit is not the same as order profit.

To reconcile an Etsy order, start with the buyer-paid item, shipping and gift-wrap revenue, then assign every Etsy charge and every fulfillment cost to the same order. Separate the listing fee, transaction fee, payment-processing fee, Offsite Ads fee, regulatory or currency-conversion fee, shipping label, refund and tax-related lines. Your bank deposit is not the order's profit: deposits can combine multiple orders, account fees, reserves, refunds and timing differences.

The cleanest workflow uses Etsy's order export, the monthly statement CSV and your own product, packaging and shipping records. Match by order or receipt reference where available, then by date and amount. Do not force an unmatched account-level charge into a single order merely to make the worksheet balance.

Download the records before calculating

Use two Etsy exports because they answer different questions. The sold-transactions export supplies order and item detail. The monthly statement supplies the activity in the Payment account, including sales, fees, taxes, refunds and deposits for the selected period.

  1. Order or sold-transactions CSV: in Shop Manager, use Settings → Options → Download Data and select the relevant order export.
  2. Monthly statement CSV: in Shop Manager, open Finances → Monthly statements, select the month and generate the CSV.
  3. Your cost records: add the SKU cost, packaging, external postage or label cost, fulfillment charge and any other cost that Etsy cannot know.

Etsy's official instructions explain how to download sold-transaction CSV files and how to generate a monthly statement CSV. Export the same date range from every system and save the source date with your reconciliation.

Build one order-level ledger

Create one row per order before you calculate profit. Multi-item orders can be split into SKU rows for product analysis, but the order-level fixed payment fee should be recorded only once and then allocated deliberately if you need SKU margins. Keep pass-through taxes separate unless your accounting treatment requires a different presentation. A tax collected and remitted by a marketplace can affect a fee base without becoming revenue available to the seller.

Map each statement line without double counting

CSV labels can vary by locale, export type and product changes, so reconcile by economic meaning rather than by one memorized label. Use the order reference when it is present. If a fee line has no order reference, use its date, description and amount, and leave it in an account-level bucket until the allocation is defensible.

Sale or payment line

Record the customer-paid economic revenue once. Do not add the same sale again merely because it appears in both the order export and Payment account activity.

Fee line

Assign the charge to its fee category. Do not combine all Etsy charges into one percentage because fixed and conditional fees create different price floors.

Refund or credit

Record both the customer refund and every related fee credit. A refund can reverse revenue and some charges on different dates.

Deposit line

Treat a bank deposit as a cash movement, not order revenue. It can cover many orders and can exclude funds that are not yet available.

The monthly Payment account can include listing activity, subscriptions, shipping labels, taxes on seller fees, deposits and adjustments that do not belong entirely to one order. Keep an explicit “unallocated account activity” balance and clear it with evidence rather than hiding it inside product cost.

Check the calculation base for each major Etsy fee

The current official Etsy Fees & Payments Policy states a standard listing fee of $0.20 USD per listing or renewal and a 6.5% transaction fee on the displayed item price plus charged shipping and gift wrap. Multi-quantity sales can create an additional listing fee for the additional quantity sold. Confirm the actual converted listing amount shown in a non-USD Payment account. Etsy can change policies, so use the statement as the final record and verify current rules before publishing a price.

Payment-processing rates depend on the location of the seller's bank account. For example, Etsy's current official table lists 3% + $0.25 USD for United States bank accounts and different rates for other countries. The payment-processing base can include shipping and applicable tax. Use the official country table, then compare your model with the exact statement line.

A common error is to calculate every percentage on item price alone. Another is to apply the fixed processing fee to each item in a multi-item order. Model the fee at the order level first, then allocate it only when you need a SKU-level view.

Treat Offsite Ads as a separate branch

Do not bury Offsite Ads inside a blended “Etsy fee” assumption. Etsy's current policy applies an Offsite Ads fee to an attributed order after an offsite-ad click. The standard rate is 15%; shops that have reached Etsy's stated $10,000 USD trailing-sales threshold are charged 12% for attributed orders, subject to the policy's conditions. The attribution window and participation rules matter, and the fee is capped at $100 USD for one attributed order.

Run at least two modeled outcomes:

  • No Offsite Ads fee: use this only when the statement confirms the order was not attributed.
  • Applicable Offsite Ads rate: use the rate shown for the shop and order, not the rate you expect from annual sales.

The difference between those branches is not a bookkeeping nuisance; it can change the minimum viable price. Check the current Etsy Fees & Payments Policy before using a rate in a forward-looking price decision.

Add country-specific and currency-dependent charges

Some orders carry additional charges that a universal fee percentage will miss:

  • Currency conversion: Etsy's current policy describes a 2.5% currency-conversion fee when an Etsy Payments seller lists in a currency different from the Payment account currency.
  • Regulatory Operating fee: Etsy applies country-specific percentages to sellers in certain locations. Use the location and rate shown in the current official help material and Payment account.
  • VAT or similar tax on seller fees: this may appear separately and should not be mistaken for customer-paid sales tax.
  • Deposit fee or reserve timing: these affect cash received and may not describe the profitability of one order.
  • Shipping label and adjustment: use the final label charge, including any carrier adjustment, rather than the first estimate.

Worked example: a fictional United States order

This example is illustrative, uses no sales tax in the revenue figure and applies the United States payment-processing rate listed by Etsy on the source-access date. It is not a universal fee schedule.

The order remains profitable in all three branches, but the 15% advertising branch removes $6.75—almost one third of the no-Offsite-Ads profit. A seller who groups every Etsy charge into a historical average can miss that order-level difference.

Explain every material variance

After the modeled order is complete, compare it with the statement total. A difference is useful information. Classify it instead of forcing the model to zero.

Timing variance

A listing fee, refund, reserve release, label adjustment or deposit can appear in a different period from the sale.

Scope variance

The monthly statement includes account activity from other orders, while the order model contains only one receipt.

Rate or base variance

The shop's processing rate, tax treatment, currency or fee base differs from the preset used in the model.

Cost variance

The final carrier charge, product cost, packaging or fulfillment amount differs from the estimate.

  1. Recheck the order reference, currency and date.
  2. Separate buyer-paid tax from seller fee tax.
  3. Confirm whether the order was attributed to Offsite Ads.
  4. Check multi-quantity listing renewals and refunds.
  5. Compare the final shipping label or carrier invoice with the original estimate.
  6. Leave the remaining amount in a named unallocated bucket and investigate it at the monthly account level.

Etsy explains that a deposit can differ from the Payment account's net-profit summary because availability, fees, refunds, taxes, reserves and the deposit schedule affect cash timing. Reconcile order profit and cash deposits as related but separate controls.

Turn the reconciliation into a price floor

Once the order is reconciled, replace historical averages with the observed fixed amounts and percentages. A simple target-profit price equation is:

Required order revenue = (direct costs + fixed per-order fees + target profit) ÷ (1 − variable fee rates)

Using the illustrative costs above, direct costs are $19.75, fixed platform and processing amounts are $0.45, and the target profit is $15.00.

Frequently asked questions

Why does my Etsy deposit not equal the profit from my recent orders?

A deposit is based on funds available at that time and can combine sales, fees, refunds, taxes, reserves and other Payment account activity. Order profit also subtracts costs Etsy does not know, such as product and packaging cost.

Should I include sales tax as Etsy revenue?

Keep tax collected for an authority separate from operating revenue unless your accounting treatment requires otherwise. Tax can still affect a payment-processing or fee base, so use the statement and applicable rules.

How do I allocate one fixed payment fee across several items?

Calculate the order correctly first. For SKU analysis, allocate the fixed amount using a documented method such as revenue share, units or equal allocation, and keep the method consistent.

Should I use the 12% or 15% Offsite Ads rate?

Use the rate actually charged to the order or displayed for the shop. The applicable rate depends on Etsy's current policy and shop history; do not infer it from the order value.

Can the Etsy calculator replace bookkeeping?

No. It is a decision model for order economics. Reconcile it with Etsy records and your accounting system, and obtain qualified tax or accounting advice for jurisdiction-specific treatment.
